Privacy Policy

This Privacy Policy explains how we collect, use, and protect your data when you use any of our lawn bowls apps (including Green Bowler, Green Captain, Rink Bookings, and any future apps we release). We are committed to keeping things simple, transparent, and secure.

1. Data controllers — who is responsible for what

Where you use one of our apps to record data about other people who are not themselves account holders — for example, recording the names and performance records of players in your squad in Green Captain — you are the data controller for that data. Green Apps acts as your data processor, providing the secure infrastructure to store and process that data on your behalf.

In apps where each person registers and manages their own account directly — such as Green Rinks, where every club member has their own login — Green Apps is the data controller for that person’s account and booking data. A club administrator’s ability to view or manage bookings within their own club is a permission built into the app, not a data-controller relationship over other members’ personal data.

As data controller for any third-party data you enter, you are responsible for:

  • Ensuring you have an appropriate basis for recording that data.
  • Informing those individuals that their data is being recorded.
  • Responding to any requests from those individuals to access, correct, or remove their data (see section 8 for the tools available to you within the app).

If you are unsure about your responsibilities as a data controller, the ICO website (ico.org.uk) provides helpful guidance for small organisations and individuals.

2. What data do we collect?

Depending on which app you use, we may collect:

  • Account information: Name, email address, login details, and subscription information.
  • Cookies and technical data: Our apps and website use cookies and similar technologies for session management, authentication, and to help us understand how our services are being used. Our website (greenapps.co.uk) uses cookies to track visits and improve user experience. Our apps use cookies or local storage for keeping you logged in and maintaining your session. You can control cookie settings through your browser, though disabling certain cookies may affect app functionality.
  • Usage data: Basic technical information about how you use the apps.
  • Lawn bowls data: Player names, performance records (e.g. matches, wins, draws, losses, rinks/positions), team sheets, scores, rink bookings, and other game-related information you enter.

We never collect medical, health, or sensitive personal data.

3. Why do we collect and use this data?

We use the data to:

  • Provide the specific features of each app (e.g. team management, personal performance tracking, rink bookings).
  • Generate teamsheets, reports, analytics, and PDFs.
  • Process your subscription payments (as advertised on our website).
  • Monitor account activity to ensure fair billing — we do not charge subscribers who are no longer using the service.
  • Maintain and improve our apps.
  • Respond to your support requests.

4. Lawful basis for processing

  • For your account and subscription: Contract (we need this information to provide the service you have paid for).
  • For player and performance data: Legitimate Interests (helping lawn bowls captains and players manage and track their sport in the same way many already do with spreadsheets or paper records). Where you are the data controller for this data, you are responsible for establishing your own lawful basis for collecting it.
  • For cookies and analytics: Legitimate Interests (understanding how our apps and website are used so we can improve them).

5. Who can see your data?

Data is private by default between different apps and between different clubs or organisations.

Within some apps, other users you interact with can see certain information about you as a core part of how the app works. For example, in Green Rinks, other members of your own club can see the details of your bookings — including your name, booking type, and any notes — so that the club diary functions as a shared, coordinated view and members can make informed decisions about rink availability. This visibility is limited to members of your own club.

In apps designed around individual or private use, such as Green Bowler and Green Captain, your data is visible only to you and anyone you deliberately choose to share it with (such as a PDF export or an invited vice-captain).

We use Stripe as a payment processor for some apps. Where Stripe is used, it handles payment data securely on our behalf and in accordance with their own privacy policy. Where a club or organisation is billed directly rather than through Stripe, payment details are handled between us and the club directly. We do not store your payment card details in either case.

6. Data storage and security

All data is stored in the European Union (on Supabase). We use industry-standard security measures including encryption and access controls. Where card payments are taken, processing is handled securely by Stripe, a trusted third-party payment provider.

7. How long do we keep your data?

We keep your data for as long as you have an active account. You can delete individual items (e.g. a player, a season, or a booking) or your entire account at any time.

Some apps have additional retention rules specific to their data. For example, in Green Rinks, booking records are automatically deleted once they are more than two years old, counted from the date of the booking itself — you will receive an email warning 30 days before this happens, giving you the chance to export anything you want to keep. Where an app has rules like this, they’re also described within that app itself.

Beyond any app-specific rules, data may also be automatically archived or deleted after 2–3 years of account inactivity.

8. Your rights

You (and any players whose data you enter) have the right to:

  • Access your data
  • Correct inaccurate information
  • Request deletion (“right to be forgotten”)
  • Export your data

You can do most of these actions directly inside the relevant app. If you need help, contact us.

For captains using Green Captain — handling player data requests — if a player whose data you have recorded asks to access or remove their data, you can handle this directly within Green Captain:

  • To export a player’s data (subject access request): go to the player’s record in League Admin and use the ‘Export player data’ option. This produces a summary of all data held about that player.
  • To remove a player’s personal data: go to the player’s record and use ‘Remove player data’. The player’s name and personal information will be permanently removed. Historical match scores and results are retained in anonymised form — the rink score remains but the player’s name is replaced with ‘Removed’. This is consistent with ICO guidance that properly anonymised data falls outside the scope of GDPR.

For club administrators using Green Rinks — handling a member’s data request: most members can access, correct, or export their own data directly from their account settings within the app. Where a club administrator needs to act on a member’s behalf — for example, the member has left the club and can no longer log in — the ‘Remove member’ function permanently deletes the member’s account and personal details, freeing their email address immediately. Their past bookings are retained for the club’s own usage records with their name replaced by ‘Removed member’; no other personal data is retained against those records.

9. International data transfers

Your data remains in the EU. Any transfers outside the EU (if ever needed) are protected by standard legal safeguards.

10. Age of users

Our apps are intended for users aged 16 and over. We do not knowingly collect data from children under 16. If you add players under 16 to any squad or team, you should ensure appropriate parental consent has been obtained where required by law.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will post the new version on this page and notify users of significant changes.
